Triton Accounts Automation
Terms of use
Responsibilities for authorized staff using Triton Engineering’s receipt and accounts workflow.
1. Purpose and authorized users
Triton Accounts Automation supports Triton Engineering’s internal receipt archive and accounts register. Use is limited to persons authorized by Triton’s administrator. Visiting this information site does not grant access to the automation, its Google credentials, or its business records.
2. User responsibilities
Authorized users must submit only business records they are permitted to process, protect account and access credentials, respect the privacy of people represented in receipts and messages, and use the workflow for its approved accounting purpose.
Users should report unexpected access, errors, missing records, and suspected security issues to the administrator.
3. Review of extracted information
AI extraction and message recovery can produce errors, uncertain fields, omissions, or duplicate candidates. Authorized staff remain responsible for reviewing amounts, dates, parties, references, captions, and original documents before using an entry for accounting or business decisions.
The source receipt and message provide the supporting record for any correction. Staff should resolve uncertain fields rather than treating automated extraction as a final verification.
4. Connected services
The workflow depends on WhatsApp/WAHA, n8n, Google Drive and Sheets, hosting and routing providers, and any configured AI provider. These services are governed by their own applicable terms. Administrators must hold the required accounts, permissions, and authorizations.
Google API access is granted through the account owner’s consent and can be revoked. Details of information handling and revocation are set out in the Privacy policy.
5. Availability and recovery
Network outages, provider limits, expired authorizations, server failures, and deleted or unavailable source media can delay or prevent processing. The configured queue, retries, recovery scan, and backups support recovery but do not guarantee that every message or attachment can be recovered.
The administrator is responsible for monitoring the service, resolving failed jobs, reviewing recovered records, and testing backup restoration.
6. Administration and changes
Triton’s administrator controls authorized access, workflow publication, connected accounts, provider selection, and retention settings. Access may be suspended when necessary for security, maintenance, a change of authorization, or an operational requirement.
Changes to the app’s functions or information handling should be reflected in these terms and the privacy policy.
